The Scheduling Coordinator schedules patient appointment/follow ups and/or surgeries as appropriate in the assigned unit/clinic. He/She closely monitors patients throughout various phases to assure completion of required testing and services, validating financial clearance for services being scheduled, providing stellar customer service when interfacing with patients in person and over the phone to establish appointments, alerting clinicians when patient testing is complete or when patients are non-compliant in completing medical services, coordinating collection of testing results and provider notes, coordinating care with ancillary departments as needed. . Obtains authorizations and pre-authorization for services to be rendered. Schedules ancillary appointments as necessary for patients. Ensures patient charts are prepared prior to appointments/follow up and/or surgery including x-rays and pertinent lab work. Makes arrangements for any special equipment as needed. Reviews and codes charge slips for patient care services and/or surgical services rendered. Maintains files and records, including supporting documentation for insurance claims. Maintains master appointment/surgery calendar for physician(s). Oversees equipment and office supply inventory. Reads all incoming mail, prioritizing and distributing as appropriate. The Scheduling Coordinator acts as a liaison with other departments and physician office staff and arranges for all necessary support services and equipment needed for a case. Performs clinical and communication functions on assigned nursing unit. She/He provides courteous reception on the nursing unit and arranges and coordinates activities for patient care. The scheduling coordinator is responsible for scheduling patient appointments for the Clinic and Day Hospital. He/she is also responsible for communicating, utilizing the computer system to access and enter patient data, and providing reception and clerical functions for the department. The scheduling coordinator reports to the nursing director. Essential Duties: Has a thorough understanding of and expertise in the use of computer systems, i.e. Cerner, GECB, Outlook, Schedules all orders timely and without error, ensures that orders are scanned on a daily basis into Powerchart Communicates with radiology timely and faxes order sheet in order to schedule test error free. Can identify a complete order signed, dated time, diagnosis, name of patient. Maintains clean and organized work area. Stocks printers and fax machines with sufficient amounts of paper. Attends daily department huddles Collaborates with team to ensure complete orders being scheduled. Orders tests via computer entry Communicates and assist colleagues without being asked by supervisor/director Stamp, date, initial upon scanning into power chart Checks voice messages constantly throughout the day. Ensure all voice messages are taken care before end of shift Notifies appropriate department of stat order as applicable Utilizes courtesy, compassion, kindness and honesty while interacting with public, patients and all hospital personnel. Demonstrates above skills in all forms of communications, i.e., in person, via telephone, and in writing. Answers phone courteously, promptly within 3 rings Identifies self by name and hospital. Routes all calls/requests to appropriate personnel, identifies on phone reason for transfer and assures connection is made. Communicates add ons to Day Hospital. Communicates with authorization department of any add ons via email and is marked as urgent for anything 5 business days or less. Completes assignments as directed Demonstrates collaboration, congeniality, and problem-solving skills. Maintains an open line of communication between management and other staff while demonstrating a professional demeanor at all times. Attends 80% of staff meetings or reads the minutes within 5 working days. Shows initiative/ability to orient new schedulers. Maintains communication with Charge RN and staff about unit issues. Is involved with and keeps abreast of changes from hospital wide committees. Performs other duties as assigned. Required Qualifications: Req High school or equivalent Req Demonstrated ability to problem-solve and provide effective resolution. Req Demonstrate excellent customer service behavior. Req Must be comfortable with computers and medical terminology. Pref Bilingual; (bilingual certified department translator strongly preferred). Preferred Qualifications: Pref 1 year Experience in health care setting preferred. Required Licenses/Certifications: Req Fire Life Safety Training (LA City) If no card upon hire, one must be obtained within 30 days of hire and maintained by renewal before expiration date. (Required within LA City only) The hourly rate range for this position is $20.80 – $35.36.
