The Marina Del Rey Hospital Security Admin Coordinator works under the general direction of the department management in the assigned department and is accountable for coordinating the day-to-day security operations of the badge office, access control system, personnel files, and finance/payroll functions for the department. This position acts as a resource to staff, resolves personnel, finance, payroll and administrative operational issues; administers human resources, payroll and finance functions for the departments; seeks guidance as necessary from Human Resources, Finance, and Payroll leadership. Collaborates with Hospital leadership, physicians and staff to ensure procedures and processes promote operational efficiency and employee satisfaction. Principal Responsibilities: Inputs profile information into Symmetry from HR, recruitment, and background checks. Responsible for taking photos of peoples for profile; printing and distributing badges to employees, vendors, contractors, students, donors, volunteers, attendees, retirees, and others. Adds timekeeping strip or linens strip as needed. Administers and controls the security ID badge and access control system for the Marina del Rey Hospital and surrounding buildings and properties. Grants or denies ID card access to physicians, employees, temporary personnel, scientists, vendors, contractors and volunteers in accordance with CSMC security policy and regulatory requirements. Advise and assist customers in their requests for access, new badge, replacement badge, or lost badge. Liaisons with department directors and managers to assure requests for access or badging are accurate and appropriate before granting approval. Assesses requests to areas / locations outside the approved access group; approves or escalates as appropriate. Develops and maintains productive liaison with a vast array of vendors, consultants, and contractors to consistently assure prompt and reliable service. Demonstrates detailed knowledge of corporate and site security administrative practice, policies, and procedures. Independently problem solves and demonstrates good decision-making in granting or denying access rights. Ensures adequacy, proper operation and compliance with CSMC security policies and procedures at all times. Initiates and evaluates new vendor, contractor, and consultant background checks to ensure initial reports provide proper information and meet CSMC policy standards. Manages the Security Identification Badge Office to assure work product quality; flow and volume are effectively and efficiently accomplished daily. Manages multiple conflicting priorities a high volume of daily walk-in vendors, consultants, and contractor customers. Continually assesses office operations and processes and looks for process improvement opportunities. Research and compiles financial and performance improvement data to assist management in evaluating departmental performance, formulating budget and staffing requirements and developing business plans and strategic objectives. Assures service levels are met and overtime is minimal. Acts as a resource to department staff and is always visible and available to troubleshoot problems. Orders/replenishes supplies and arranges for equipment maintenance in relation to all badging necessities. Submits, monitors and tracks invoices, reimbursements, and supply management. May assist with preparation and submission of expense reports. Is responsible to be the departments Staff Development Advisory Network (SDAN). Other duties as assigned. Qualifications Education: Assoc.
