Description

The role supports ISS financial operations through budget planning, expense processing, procurement coordination, financial reporting, and administrative process improvement.

Budget Planning & Reporting

  • Lead operating and capital budget preparation with ISS cost center owners.
  • Develop templates, consolidate department budgets, and mentor staff on best practices.
  • Communicate approved budgets and variances; meet with managers to review discrepancies.
  • Prepare narrative analyses for budget requests and variance reports.
  • Track budgets, analyze monthly EPSi data, and maintain Position Control impacts.

Expense Processing & Procurement

  • Prepare operating and capital purchase requisitions and manage procurement portal submissions.
  • Coordinate between ISS departments and IT Contracts; support contract prioritization.
  • Monitor open POs, maintain ServiceNow expense workflows, and support vendor setup.
  • Assist with SSPR forms and provide summaries for Capital Equipment Committee preparation.

Financial Operations

  • Develop and present periodic financial reports to senior leadership.
  • Monitor capital funds and maintain databases for purchases and PO tracking.
  • Track consultant SOWs, contract renewals, accruals, and invoice approvals.
  • Resolve billing discrepancies and support AP, Payroll, and General Accounting inquiries.
  • Prepare interdepartmental and intercampus recharges.

Administrative Support

  • Maintain Position Control reporting and advise leaders on best practices.
  • Lead process improvement initiatives and create SOP documentation.
  • Produce reports, presentations, and correspondence independently.
  • Maintain tracking systems for administrative, procurement, and financial activities.
  • Support administrative team members with travel and training processes.

This flexible hybrid role allows for a blend of remote and on-site work, requiring presence on-site at least 20% of the time, and as needed based on operational requirements. Please note, travel to the ‘home office’ location is not reimbursed. Each employee will complete a FlexWork Agreement with their manager to outline expectations and ensure mutual understanding. These arrangements are periodically reviewed and may be adjusted or terminated as necessary.

Salary offers are based on a variety of factors including qualifications, experience, and internal equity. The full salary range for this position is $78,500 – $163,600 annually. The University anticipates offering a salary below $140,000 annually.

Qualifications

·       Bachelor’s Degree highly preferred

·       Working knowledge of budget planning and variance reporting

·       General knowledge of accounting principles, procurement and accounts payable.

·       Highly proficient in MS Office applications, with a strong emphasis on Excel

·       Ability to apply high level spreadsheet development skills to the budget planning process

·       Excellent communication skills and a customer service oriented personality is highly desired  

·       Ability to contribute to and manage special projects.

·       Experience working with UCLA Health financial and procurement applications Workday & Lawson, Strata Epsi, Ascend eInvoice, Service Now preferred

·       Ability to keep up with finance related trends in information technology as well as Health IT
