The Staffing Coordinator will provide support to the Nursing Supervisors, Managers, and Directors during the process of ensuring adequate and appropriate nursing staff for each shift. Will assist in the collection and filing of documentation related to agency staff. He/She will assist with compliance related to various regulatory agency reporting requirements. The Staffing Coordinator (SC) closely collaborates with the Clinical Administrative Supervisors to plan and adjust staffing as needed to ensure patient assignments are within California staffing guidelines. The SC serves as a facilitator in staffing/ patient flow planning huddles. The SC will communicate with the Nurse Leads the staffing adjustments that need to be made to optimize unit capacity. Staffing Coordinators adjust Kronos on a daily basis to reflect accuracy in unit assignments, sick calls, etc. The Staffing Coordinators manage daily registry requests and process any required paperwork. The staffing coordinator may have responsibility for staffing at multiple facilities. The staffing coordinator may also be assigned to complete facility wide scheduling and timekeeping. Essential Duties: Administrative Responsibilities 30% Ensure records are up to date and maintained according to regulatory guidelines. Maintain workspace in a neat, organized manner Electronic record storage will be the preferred storage method whenever possible. Scan records and store per department guidelines. Maintain Float/ Flex logs for staff as assigned Utilize timekeeping, scheduling, and acuity software to ensure staff are assigned to correct units worked Assist with scheduling as requested Forecasts staffing / completes projections according to operational guidelines Completes CAS/Staffer report including maintenance of sick call logs. Compile reports as requested Daily Operations 30% Review and respond to all written and verbal communication. Check email, voicemail, teams, etc and provide responses within shift worked. Facilitate staffing huddles. Arrive to huddle with information prepared. Maintain Kronos by assigning staff to units worked and updating sick calls as needed. Complete staffing planning for next shift by 1730/0530. Distribute/ post assignments for nurse leads at this time. Revises staffing needs for upcoming shift. Submits revisions to designated processes in the time frame defined. Team Work/ Collaboration- 20% Collaborate with CAS regularly during shift to ensure staffing is consistent with California staffing standards. Communicate with Nurse Leads any staffing changes needing to be made. Escalate to CAS as needed. Collaborate with staffers/CAS at Norris to facilitate staffing across the campus. Other- 20% Consistently adhere to KNOWN standards Maintain professional conduct. Display proper phone etiquette including use of name as identifier when answering the phone. Escalate any concerns/ issues to Manager and/or CAS. Non urgent, email is acceptable. Urgent/ Emergent text/ call is the preferred method of communication. Performs other duties as assigned. Required Qualifications: Req High school or equivalent Req 1 year Experience as a staffing specialist/clerk in an acute hospital setting. (Unit secretary experience may substitute for this experience. ) Req Experience with computerized scheduling and general office procedures required Req Proficient computer skills including Microsoft Office required Demonstrate ability to utilize effective oral and written communication skills Req Demonstrate ability to problem solve and to work independently Req Highly organized and detail oriented Req Must have ability to effectively multi-task and perform in a fast-paced environment with multiple distractions. Preferred Qualifications: Pref Associate’s degree in a related field. Pref 2 years Experience in related field. Pref Experience utilizing Kronos for payroll preferred Required Licenses/Certifications: Req Fire Life Safety Training (LA City) If no card upon hire, one must be obtained within 30 days of hire and maintained by renewal before expiration date. (Required within LA City only) The hourly rate range for this position is $22.00 – $34.18.
