Assistant Director, Clinical Placement The priority purpose of this position is to assist in providing leadership, direction, and supervision to the clinical-placements administrative staff. This position supports the team’s functional understanding, explaining, gathering, review and submission of clinical-placement requests to affiliated clinical partners. Under the Director’s guidance and direction, this position also supports the time-sensitive collaborative work of student and faculty clinical onboarding, alongside the nursing programs’ staff and clinical affiliates. Work Location: Doheny Campus (Downtown Los Angeles). Hybrid work schedule available. Start Date: Immediately Application Deadline: Open until filled Annual Salary Rate Range: $70,304.04 – $72,113.16 Monthly Salary Rate Range: $5,858.67- $6,009.43 Hiring salary can be above the posted pay range if candidate’s qualifications are determined to be above the minimum requirements of the position description. Duties and Responsibilities : Under the guidance of the clinical placement director, supervise the training and cross training of clinical placement team members, and assist with the training of program staff in work related to clinical placements. Supervise the department’s clinical onboarding process (health and safety verification, education/training and orientation) for students and faculty per affiliates’ requirements. Lead the complex coordination and management of clinical placements for Nursing Department programs by securing and maintaining placement opportunities across a diverse network of clinical affiliates. Ensure adequate and timely placement opportunities for Nursing Department students. Adopt and learn onboarding processes of pre-assigned number of health systems and hospitals, such that the assistant director is able to oversee the execution of onboarding process from beginning to end. Manages relationships with existing clinical agency partners to ensure student, faculty and clinical site satisfaction as well as successful clinical experiences for nursing students. Coordinates and attends healthcare-related events such as annual clinical affiliation meetings. Maintains knowledge and understanding of MSMU curriculum and programs and clearly explains to clinical partners. Participates in practicum course planning with directors and program coordinators in order to request and secure clinical placements. Works with program coordinators to ensure all placements are requested and confirmed for academic year and provide updates regularly to reflect placement information. Assists with the management of clinical affiliation and training agreements/memorandums of understanding, liability insurance certificate process, and Board of Registered Nursing clinical site approval form. Forwards specific information to program coordinators and the clinical onboarding team in order for them to coordinate clinical course needs (e.g., conference room reservations, parking, agency policies, faculty and student orientation). Works with clinical placement and program directors to address clinical placement issues and clinical partners’ concerns. Assists with nursing department activities and clinical partnership events, including the Advisory Council Meeting. Assists in agency site visits to organize and record meetings, collect paperwork, etc. as requested by director. Maintains an on-line database for the clinical placement department, including affiliate contracts and contact information, clinical placement portal for current and future terms, and archive of clinical placements for competed academic terms. Upon request, assist with coordinating and distributing clinical site assessment for accrediting bodies such as (Employer Survey). Assist in communications with clinical agencies about student and faculty paperwork and expectations prior, during, and after the clinical assignments for all nursing programs as needed. Collaborate with program leadership and support teams to develop and adhere to timeline of deadlines for clinical clearances in order for students to begin clinical practicums on time. Field affiliate communications related to special circumstances and concerns to ensure the necessary nursing-department program addresses the affiliate concerns. Participate in the presentation and explanation of processes for clinical clearances through electronic compliance tracking system to students and faculty, e.g. program orientation and video chat sessions. Apply comprehensive understanding of annual and health clearance requirements to support students and faculty in meeting affiliate deadlines. Support clinical partners and program faculty and staff in troubleshooting issues related to clinical-site clearance, affiliate concerns or on-site clinical incidents. Develop and manage processes that support a standardized departmental system for e-shared documents to facilitate efficient workflows and meeting of internal and external deadlines. Assist with the establishment of systems to streamline intra-office flow via use of the computer software systems, e.g. Microsoft Word, Excel spreadsheets. Meet with agencies as needed. Attend clinical-affiliate meetings sponsored by agencies. Coordinate attendance of other meetings by other faculty/staff as requested. Assist the dean and directors in the preparation of accreditation and regulatory materials, and in the accreditation and approval processes. Provide cross-coverage support to the director of clinical placement. Other Duties and Responsibilities : Perform other job-related duties, as assigned. Job Requirements: Knowledge : Strong working knowledge of an office environment including, but not limited to, typing, operation of various office machines (e.g. desktop and laptop computer). Excellent working knowledge of software applications (i.e. MS Office, Excel, Publisher, clinical compliance platform or similar software) Abilities and Skills : Effectively organize, prioritize, and handle multiple tasks to meet established deadlines. Provide professional and efficient customer service. Build rapport and communicate effectively with the University and affiliate community. Easily and accurately follow instructions. Analytical skills, detail-oriented, and discrete handling of confidential information. Creative problem solver. Exercise sound judgment and decision making. Self-starter and team player who is able to work independently and in collaborative settings. Effectively lead, support, encourage, and supervise team members. Education : Minimum bachelor’s degree Experience : One year of administrative support experience working in a multi-functional department. Experience in an academic setting a plus.
