The ideal candidate brings strong program management discipline, operational rigor, and a process-oriented mindset to help scale how WCS plans, tracks, and activates internal and external talent.

What you’ll do…

Resource Planning & Operational Execution

  • Serve as the primary point of contact for resource planning and contingent workforce requests across WC.
  • Manage a high volume of requests from intake through onboarding readiness, ensuring timely coordination and follow-through.
  • Partner with WC teams and stakeholders to understand staffing needs and support effective resource allocation.
  • Act as the central coordinator across internal teams (e.g. resourcing, legal, procurement, finance, operations) and external vendors to move requests forward efficiently.
  • Maintain visibility into active requests, timelines, onboarding status, and potential risks to delivery.
  • Proactively identify and resolve blockers, escalating issues as needed to protect staffing timelines.
  • Provide clear, consistent communication and status updates to stakeholders.
  • Coordinate with external staffing vendors and agencies to support candidate readiness, onboarding timing, and issue resolution, reinforcing process expectations and improving consistency.

Process Design & Continuous Improvement

  • Design, implement, and refine workflows across resource intake, onboarding coordination, tracking, and reporting.
  • Identify opportunities to improve efficiency, reduce cycle times, and increase transparency across resource planning processes.
  • Build and maintain SOPs, templates, and documentation to standardize ways of working.
  • Recommend and support improvements across tools, workflows, and stakeholder interactions based on recurring operational challenges.

Resource Planning Data, Tracking & Insights

  • Own and maintain resource planning trackers and systems (e.g., Airtable, Smartsheet, or similar tools).
  • Ensure accuracy and completeness of data across resource requests, onboarding status, and active engagements.
  • Track key operational metrics such as request volume, turnaround times, onboarding timelines, and blockers.
  • Analyze data and operational trends to identify gaps, risks, and opportunities.
  • Provide insights and recommendations to improve planning accuracy, staffing visibility, and workflow reliability.
  • Support reporting that enables better decision-making and more effective resource planning conversations.

Qualifications

  • 5+ years of experience in program management, resource planning, operations, creative operations, or related fields.
  • Proven ability to manage high-volume, detail-oriented workflows with speed, accuracy, and strong follow-through in a fast-paced environment.
  • Strong project management and organizational skills, with the ability to coordinate across multiple stakeholders.
  • Experience designing, improving, and scaling operational processes and workflows in evolving environments.
  • Comfortable working with data and tracking tools (e.g., Airtable, Workfront), with a focus on data accuracy and usability.
  • Strong communication skills with the ability to drive alignment, surface risks early and influence stakeholders.
  • Demonstrated ability to identify and resolve operational bottlenecks, improving turnaround times and workflow reliability
  • Experience in creative, marketing, or agency-supported environments preferred.

Success in This Role Looks Like

  • Resource requests are moved through intake, coordination, and onboarding quickly with clear visibility into timelines and status.
  • Cross-team dependencies are proactively managed, with fewer escalations and faster resolution of blockers.
  • External talent is onboarded smoothly with minimal disruption to project timelines and business needs.
  • Stakeholders have clear, consistent visibility into request status, timelines, and next steps, reducing ambiguity and follow-ups.
  • Operational processes become more standardized, documented, and scalable, making them easier for teams to navigate.
