The Faculty Affairs Department of the Keck School of Medicine is seeking an outstanding Senior Faculty Affairs Coordinator to join our team. Job Accountabilities: The Senior Faculty Affairs Coordinator will report to the Program Manager of Faculty Affairs. This role would entail writing letters of offer and changes of status for ~26 departments.  Provides services supporting the faculty employee life cycle. Promotes and supports faculty-related programs, policies and procedures. Performs administrative and human resources-related functions for faculty (e.g., maintaining schedules, tracking tenure). Assists leadership with management of new and/or special faculty-related initiatives. Distributes messages to faculty. Administers and processes documents related to faculty appointment, promotions, and tenure (e.g., resumes, forms). Files documents appropriately and maintains accurate records. Creates and maintains content on faculty websites and portals. Gathers and communicates all information necessary for faculty academic life cycle. Generates and analyzes reports on faculty-related data as necessary. Assists with the presentation of faculty data. Maintains and manages confidential files related to faculty misconduct and other sensitive issues. Serves as point of contact to address faculty inquiries. Maintains currency with all faculty-related information (e.g., payroll, sabbatical and retirement processes) and effectively communicates with university stakeholders. Maintains faculty appointment and hiring data in campus-wide systems (e.g., Workday, FAM). The selected candidate should be familiar with mail merge and utilizing templates at the University of Southern California and the various designations of the Keck School of Medicine.  Among other duties, the Faculty Affairs Coordinator will write letters and assist with the mailing system.  Also assisting with the distribution of other work in the Office of Faculty Affairs. Successful Candidates Must Demonstrate: Working knowledge of Word documents, and DocuSign Customer service mentality to work closely with over 26 departments and institutes at the Keck School of Medicine as well as other schools at USC Hybrid Position: The job requires, at minimum, 4 days on-site per week. The hourly rate range for this position is $42.46 – $50.01 . Minimum Education: Bachelor??s degreeMinimum Experience: 3 yearsMinimum Field of Expertise: Ability to work independently with minimal to no direct supervision or guidance. Experience with and understanding of faculty-related processes (e.g., tenure, sabbaticals). Extremely organized and self-motivated. Experienced in Microsoft Office. Excellent written and oral communication skills.
