The Support Coordinator will assist with all aspects of patient care. Coordinate clinic schedules, patient appointments and follow up. Answers patient phone calls, verify insurance benefits, prepare charts for clinic and prepare charge tickets for clinic visits. He/She will also coordinate scheduling of all surgeries and diagnostic testing for patients which include sending pre-op packets to patients with surgery instructions, prepare surgery charge tickets and compile letters of medical necessity. The Support Coordinator will assist with the office clerical duties. Other duties may include: assisting multidisciplinary team in managing the care of the patient’s thru all phases (In-take/Evaluation/Listed) by acting as a liaison between the clinic and referring physicians; assisting in managing follow-up care for post surgical patients by setting up follow up care appointments; and/or coordinating an organized and efficient case flow of clinic scheduling. Must work with any and every Physician. Assist with all aspects of patient care. Responsible for all front office functions including checking-in and checking-out. Responsible for management and coordination of all ophthalmic services including appointment scheduling, surgery coordinating, insurance verification, and financial clearance of all appointments. Essential Duties: Greets patients in a courteous and professional manner. Preforms all Front Office functions including check-in and check-out, appointment scheduling, insurance verification, financial clearance, and prior authorization requests. Assists with front office worklists such as appointment reminder and Tonic worklists. Schedules and coordinates surgeries and in-office procedures. Ensures patients are scheduled in a timely manner and all medical and financial clearances are obtained in advance of the procedure. Collaborates with the ambulatory surgery center to ensure proper scheduling. Assists with all pre-arrival and financial clearance functions including insurance verification, pre-certification request, and authorization requests for managed care. Process new referrals in a timely manner; this includes obtaining required outside medical records, entering demographic information into computer system and PBAR, provides medical records to physician / multidisciplinary team for review, provides insurance information to financial counselor for patient to be financially cleared, and schedule patient in clinic. Schedules patients evaluation in a timely manner while accommodating patients needs. This includes but no limited to: laboratories, diagnostic testing and consultations as needed. Provides administrative assistant support to supervisor. Maintains calendar, schedules meetings, travel arrangements and other administrative support as appropriate Understands the procedures for scheduling patients, and gives proper patient instructions. Notifies patient of upcoming appointments in a timely manner. Arranges patient clinic appointments as requested by the physician. Communicates all changes with patient and case information to all involved personnel. Demonstrates accuracy and thoroughness in entering information into computer systems (Cerner, PBAR). Works with various hospital personnel to resolve issues and accommodate patient. Tracks and maintains Refractive procedure volumes, outcomes and patient pre and post op visits. Interacts with patients and engages strategies for increasing patient enrollment for refractive procedures. Assist in translation as needed (if applicable). Provides phone coverage as needed. Demonstrates flexibility in covering other staff members for sick time, vacation, or leave of absence. Ability to work independently and in a team setting to accomplish duties in a timely manner. Maintains files and records, oversees equipment an office supply inventory. Photocopies, collates, distributes, mails performs errands. Reads and prioritizes incoming mail, Handles and routes as appropriate Participates in daily huddles, contributes and leads huddles Demonstrates knowledge of and practices Keck Standards of Service and values Performs other duties as assigned. Required Qualifications: High school or equivalent Ability to communicate effectively in English both verbally and in writing. Preferred Qualifications: 1 year Experience in acute care or ambulatory care setting. Knowledge of medical terminology preferred. Familiarity with word processing, IDX, Cerner, PBAR and scheduling software is preferred. Required Licenses/Certifications: Fire Life Safety Training (LA City) If no card upon hire, one must be obtained within 30 days of hire and maintained by renewal before expiration date. (Required within LA City only) The hourly rate range for this position is $22.00 – $34.18.
